Most senior moves here are arranged by an adult son or daughter, often from out of town, on a deadline the community already set. The hard part is rarely the lifting. It is that a lifetime of belongings has to fit a one bedroom, and the building has rules about when and how you can bring it in.

Moving Into a Senior Community Changes the Whole Plan
A move into a senior living community runs on the building's schedule, not yours. Most communities assign move-in windows, many require a reserved service elevator, and some restrict moves to weekdays. That single constraint drives your packing timeline, your crew size, and often your move date.
Before anything else, call the community and ask four questions:

Then write the answers down, along with the full name and address of the community and a phone number for the move-in coordinator, and make sure someone other than the person moving is holding that sheet on the day. This sounds obvious. It is the detail that most often goes missing, because the person who knows the plan is usually not the person riding with the truck.
Three Different Situations
Who Is Arranging This Move Changes What You Need From Us
The right plan depends on who is running it, and the three situations need genuinely different things.
If you are the adult child, coordinating from out of town
You need a single point of contact and decisions made without you on site. Ask for a walkthrough by video, a written inventory, and one person who owns the job start to finish. The deciding factor is whether you will physically be there on move day. If you will not be, say so at the estimate, because it changes how much we document.
If you are the one moving
You need pace and control, not efficiency. There is no prize for finishing by noon. Tell us which rooms you want to be present for and which you would rather not watch, and we work in the order you choose.
If you are facility staff or a senior move manager
You need reliability and paperwork. Certificate of insurance on file ahead of time, a crew that knows the building's rules, and a truck that arrives inside its window. Trust and Oversight
Who Is in the House When You Cannot Be There
If you are handling this from out of town, the honest worry is not whether the boxes arrive. It is who is alone in your parent's house with their things, and whether an 84 year old is in a position to supervise anyone.
That concern is reasonable and you should ask every mover you call how they handle it. It is also worth knowing you have formal protections: the federal government publishes your rights and responsibilities when you hire a mover, and they apply whether or not anyone is standing in the room.

Downsizing
Downsizing: The Sort That Actually Works
The fastest way to stall a senior move is to sort item by item. Work room by room and category by category instead, and decide the big furniture first, because furniture determines how much space is left for everything else.
A practical order that works: measure the new floor plan, place the furniture on paper, then sort. Anything without a place in the new plan goes to one of four piles: family, donate, sell, or haul. We handle the haul pile, and we can move the family pile to siblings' homes on the same day rather than making it a second project.
Say a father is moving from a four bedroom in Old Palo Alto into a one bedroom. The books are the emotional fight, not the couch. Deciding early that two shelves come and the rest are photographed and donated turns an argument into a plan.
One honest caution: do not schedule the sort and the move in the same week. Families who try it almost always end up paying for extra hours while decisions get made on the truck. If the dates do not line up cleanly, short-term storage is usually cheaper than rushing the sort.
Timing and Cost
How Far Ahead to Book, and What Drives the Price
Book as soon as you have a move-in date. We can move on as little as 24 hours notice when we have a truck free, so a sudden hospital discharge or a date that shifts on you is not the end of the world.
That said, moving fast and moving well are different things. The truck is rarely what holds a senior move up. The sorting is, and the community's available move-in slots are. If you have a choice, give yourself two to three weeks for the sort, then book the truck around the community's window. If you do not have a choice, we work with the days you have.
We keep that capacity for a reason. One senior we worked with had booked another company that simply did not show up on move day. They called us and we got them moved the same day. If that is where you are right now, call and ask. A no-show is not the emergency it feels like, as long as somebody answers the phone.
